Japan: Airport clearances moving towards the digital future

Covid is the best chief technology officer across all organisations, with many companies expediting its digital resilience during the lockdowns. Pleased to share Japan’s immigration procedures have also been digitalised.

In this article, we will cover the steps of making it a hassle-free experience to clear the procedures at the airport when you land.

From 1st November 2022, procedures for entry in Japan can be found at Visit Japan Web, which allows you to clear quarantine, immigration and customs procedures.

Step 0: Create an Account

Visit Japan Web will redirect you to its login page, https://www.vjw.digital.go.jp/. Create an account and you can move on to the next step.

Step 1: Register User Information

You will need to input your information (and your family members who are babies and infants if you are travelling with them). Most of the information you will have it offhand, but you will need your passport number for this submission.

Step 2: Register Arrival Schedule

As the registration is unique to each trip, you will need to register the arrival schedule. Information required for this section are:

  • Planned Arrival Date in Japan
  • Airline Company Name and Flight Number
  • Address of your hotel / residence – this can be automatically retrieved within the system if you have the postal code

Step 3: Register required information on arrival procedure

This is the most tedious part and consists of 3 parts, of which the “Quarantine procedures (Fast Track)” is compulsory, as it will be checked when you get off the plane.

For the “Quarantine procedures (Fast Track)” category, you will need to prepare an image of your passport. Also you will need your vaccination certificate (3 doses of approved vaccines), or a negative test 72 hours before departure. For Singaporeans, you can access your vaccination certificate at https://www.notarise.gov.sg/ using Singpass.

If you are travelling with kids who are not vaccinated, they will be considered vaccinated as long as you fulfill the conditions.

When you have completed this part successfully, the screen will be blue, but if there’s an error or you do not fulfill the conditions, the screen will be red. You should redo it if red and you actually fulfill the conditions.

For the other 2 categories, “Disembarkation Card for Foreigner” and “Declaration of Personal Effects and Unaccompanied Articles”, you should be familiar with those as these are the hard copy forms available that are typically distributed on the plane for you to fill in when entering a country. I highly recommend you to fill these in to save a lot of time in getting out of the airport.
